JOB DESCRIPTION

TITLE: Assistant Director
FULL TIME — ON-SITE
REGULAR HOURS: 8:00 AM–4:30 PM, with evenings/weekends as needed.
REPORTS TO: Executive Director
BENEFITS: This position is eligible for CAMO’s benefits package, including health insurance, paid time off, and retirement savings options.
FUNCTION: Provides administrative support to the Executive Director and team, coordinates volunteer engagement and warehouse/shipping logistics, and supports day-to-day bookkeeping. Serves as a key point of contact for visitors, volunteers, and staff, helping ensure smooth day-to-day operations across the organization.

Duties and responsibilities may include: (but are not limited to)

Leadership & Executive Support

  • Provide administrative support to the Executive Director and team
  • Help coordinate fundraising and volunteer activities, events & meetings
  • Assist with various correspondence (mail, email, & phone)
  • Maintain Donor Perfect database
  • Donor & Volunteer appreciation correspondence
  • Meeting preparation for scheduled on-site and off-site meetings

Volunteer Coordination

  • Source and recruit volunteers through various techniques (databases, e-mail, social media, etc.)
  • Collect information on volunteer availabilities and skills
  • Arrange for appropriate volunteer training when needed
  • Keep detailed records of volunteers’ information and assignments
  • Communicate frequently with volunteers to ensure they are satisfied and well-placed
  • Produce schedules for everyday activities
  • Keep volunteers informed about how their service directly contributes to the impact of CAMO’s mission
  • Oversee group setup and coordinate activities on the premises
  • Organize lunch for volunteers for large projects and/or container shipments

Logistics & Warehouse

  • Arrange small parcel and container shipments
  • Oversee procurement, acknowledgement (in-kind thank you letters, collecting stories of impact, relaying impact back to in-kind donors), and tracking of all in-kind donations
  • Presort all incoming donations
  • Ensure volunteers have a safe and clean working environment
  • Support with logistics, warehouse space, and shipping coordination for third-party equipment sales

Bookkeeping

  • Assist the CFO with day-to-day bookkeeping tasks.
  • Process incoming mail, including checks and donations, and prepare deposits.
  • Support bank and credit card statement reconciliation
  • Assist with petty cash management and expense reporting
  • Support the CFO in preparing financial reports, budget tracking, and related documentation
  • Help maintain organized financial records and support annual audit preparation
  • Perform other bookkeeping duties as assigned
  • Office Management & Reception
  • Manage office supplies and maintain office inventory
  • Coordinate office equipment maintenance (copiers, computers, phone, etc.)
  • Mail sorting and delivery
  • Complete Data Entry
  • Answer phone and transfer to appropriate department
  • Provide visitor tours and education of our mission and facility
  • Greet and share the model of CAMO with all visitors and incoming volunteers
  • Promote the sale of items such as coffee, mugs, CAMO books, event tickets, raffle items, etc.

 

Qualifications and Skills

  • Must have a GED or high school diploma. (Associate or Bachelor’s Degree Preferred).
  • Ability to lift 15–20 lbs as needed, stand and move around the office/warehouse for extended periods, and occasionally bend or reach to sort donations and supplies.
  • Excellent communication, project management, and organizational skills.
  • Ability to work collaboratively with diverse populations and stakeholders.
  • Must have reliable transportation.
